The Office of the City Clerk, a Division of the City Manager’s
Office serves the following areas:
• City Council/Redevelopment Agency (CC/RDA)
Prepares All Annual Council/Agency and Advisory Body Calendars.
Prepares All Agendas and Agenda Packets for City Council/Redevelopment
Agency Meetings.
Attends All Meetings and Records Official Minutes of All Council/Redevelopment
Agency Meetings.
Retains and Disseminates information from those Documents, Recordings
and prepares the Official Minutes.
Assists Mayor and Councilmembers with Correspondence and Publications
City Elections.
• Records Management
Prepares Automated Records Files for City Public Records and Legal
Documents
Store, disseminate and Maintain Public Records and Official Documents
(including but not limited to Council Agenda Packets, Resolutions,
Ordinances, Municipal Code and Contracts)
Determine Shelf Life, Archive and Destruction of certain City documents
Assists City Manager with Regular Business Hours Office Operations
• City Elections
The City of East Palo Alto is a General Law City and contracts
with the County of San Mateo’s Elections Division to hold
its Legislative Elections.
Legislative (Council) candidate management (including preparation
of campaign packets and orientation for candidates) and transmit
all pertinent documents to County Elections Division.
Assists the City Attorney with the preparation of Measures and
Initiatives for Ballot and submit same to the County Elections Division.
Ensure that candidates meet campaign document submission deadlines
and makes campaign documents available to Press and Public.
Campaign Monitoring including but not limited to: the Secretary
of States Mandated Fair Political Practices (Conflict of Interest
Statements and Campaign Donation Disclosures).
Responsible for liaison work with the County Elections Division
to have the 2415 University Avenue Polling place open and functioning
during elections and monitors the various polling places on Election
Day.
